Meeting rooms
Control the room — and what the meeting costs.
Room calendar, bookings, invites and meeting cost on one screen.
The problem
Rooms clash, cost stays invisible.
Bookings live in shared calendars or email; two teams show up for the same room. And what a two-hour, ten-person meeting costs the project is visible nowhere.
AI in this module
Turns meetings into cost.
- An estimated cost from participants' hourly rates is stored at booking
- When the meeting ends, the actual cost is booked to the project as an approved "Meeting cost" expense
- Cancelled meetings produce no cost; budget alerts include this expense

Frequently asked
How is meeting cost calculated?
An hourly rate is derived from each participant's salary and working hours, multiplied by the meeting length and summed. If the booking is linked to a project, the amount is booked to the project as an expense when the meeting ends.
Can I cancel someone else's booking?
No; you can only edit or cancel your own. A manager with emergency booking permission can override conflicting meetings.
